Every login on your team is a paid user: Admins, Nurse Case Managers, Internal Case Managers, and Billing Staff. Your plan's base price covers its included users (in any mix of roles). Each additional user is billed every month (or year, on annual plans) at the price for their role shown on the plan. Referral Staff (attorneys, adjusters, and other referral partners) are always free and unlimited.

Yes. Attorneys, physicians, adjusters, and other referral partners get free portal logins to submit referrals and check the status of their own cases. Unlimited, on every plan, forever.

Every plan starts with a 7-day free trial with full access to all features. You add a payment method when you sign up so your account keeps running after the trial, but you are not charged until the trial ends. Cancel any time during the trial and you pay nothing.

Yes. You can upgrade or downgrade at any time, and seat charges are prorated automatically when you add or remove users mid-cycle.

No setup fee to start. Monthly plans are month-to-month and you can cancel anytime; annual billing gives you two months free. Moving your existing data in, or having us build custom forms for you, are optional paid services we quote up front. You can always upload your own forms and documents yourself at no charge.

Yes. A BAA is part of onboarding for every customer, and our infrastructure runs on AWS under AWS's BAA as well.

Yes. Mileage is billed at effective-dated rates on every plan. For workers' comp we also switch on travel time, wait time, and expense billing with receipt uploads, plus a Time & Expense report per nurse or per patient. Just ask and we turn it on for your company.

You connect your own SRFax account, then send invoices and CMS-1500 claims with professional cover letters directly from the platform. SRFax bills your fax usage at their standard rates, casemgmt.io does not meter or mark up fax pages.

Yes. Send an intake form or a document to a patient by email or text (texts only go to numbers that agreed to receive them). They complete and sign it from their phone: documents ask for their date of birth or the last 4 digits of their phone first, and forms check their date of birth when it's on file. The finished PDF is filed into their chart automatically.

Yes. Once you connect QuickBooks Online, invoices to insurers and other payers push to QuickBooks when they're sent, and insurance batch invoices push with one click. Invoices billed to a patient stay out of QuickBooks.

Your own configured rates: hourly, mileage, and (for workers' comp) travel and wait time rates. Rates are effective-dated, so when you raise a rate for the new year, past work keeps the rate that was in effect when it was performed.

Each plan includes a monthly allowance of text messages for your whole company (shown on each plan above; Enterprise is set per contract). Extra texts are $0.05 each, added to your next invoice, and your admins get an in-app alert at 80% and 100% of the allowance. Texting pauses at 3x the allowance in a billing period unless you ask us to raise it. Your company's own texting number is $19/mo ($190/yr on yearly plans) (included on Business and Enterprise); without one, form and signature links go out from our shared number. Patients agree to texts first: we never text a number that hasn't opted in, and STOP and HELP replies are handled for you.

Yes. Admins can export a full patient record at any time (a ZIP with a PDF summary, a data file and all of the patient's documents). Referrals, cases, time entries and batch invoices export as CSV, and reports as PDF. If you ever cancel, we'll work with you on a final export of your data.

Yes. Every record is scoped to your company with strict multi-tenant isolation, encrypted at rest with 256-bit AES and in transit with TLS 1.2+.
