Change a case number (for example to the claim number)

Admins can replace a case's automatic CM number with your own, such as the claim number.

Last updated November 4, 2026

Who can do this: Admin

Your company must have this turned on. Ask support at admin@casemgmt.io.

Before you start

  • Only Admins can change a case number.

Steps

  1. Open the case. In Case Details, click Edit.
  2. Type the new number in Case Number, or click Use claim number to fill in the claim number saved on the patient.
  3. Click Save.

Good to know

New cases still get an automatic number like CM-2026-00012. Numbers starting with CM- are kept for those.

Each case number is used once. If a patient has two cases on the same claim, add something like -2 to the second one.

Invoices, reports and CMS-1500 forms show the case's current number, including ones you print again later.

If something goes wrong

"That case number is already used."
Add something like -2 to the end to make it different.
"Only an Admin can change the case number." or there is no Case Number box under Edit.
Ask an Admin. If an Admin doesn't see it either, your company doesn't have this turned on.
