How reminders and the daily summary work

Who gets each reminder and when, the morning summary of today's and overdue items, the Today card and the red Calendar count.

Last updated October 22, 2026

Who can do this: Admin, Nurse Case Manager, Internal Case Manager, Billing Staff

Reminder times

Under Reminders on an item, tick one or more: At the time, 15 minutes before, 1 hour before, 1 day before, 1 week before. Untick them all and no reminder is sent.

Each type starts with its own reminders: Appointment 1 day and 1 hour before, Reminder / follow-up and Task at the time, Internal / staff 15 minutes before, and your company's own types 1 hour before. A quick reminder added on a patient's card is 1 hour before.

Tasks with no due date and done items never send reminders.

Who gets them, and how

Everyone assigned to the item gets each reminder. If nobody is assigned, it goes to the person who added it.

Reminders always show in the notification bell, and are also emailed unless you turned reminder emails off in My Settings. Emails show the time in your time zone and link to the item.

If your company has notification choices turned on, you can also get reminders by text. See Choose how notices reach you.

The daily summary

Once a day, each person with open items due today or overdue gets a summary listing them: in the bell (“Today: …”) and by email (“Your day: …”). Nobody gets one on a day with nothing due.

It goes out at 8 AM in your time zone. If your company has notification choices turned on, you can pick a time from 5 AM to 12 PM under Daily summary time.

Tasks with no due date are not in the summary.

The Today card and the red count

Your dashboard's Today card shows how many items are left today, overdue and done, with overdue items first. Mark them done or push them right there, add one with + Add, or click Open calendar.

Admins and Nurse Case Managers can switch the card between Mine and Team (everyone's open items for today).

The red number on Calendar in the menu is your open items for today, overdue included.

Time zones

Reminder emails, the daily summary and what counts as “today” use your own time zone if you set one, otherwise your company's.

Set yours in My Settings on the Time zone card and click Save time zone. Admins set the company's in Colours & labels on the calendar.
