Case notes & time
Case notes, time and mileage
Nurses record each visit or call as a case note with its hours, miles and billing guide. That one entry feeds billing and nurse payroll, so nothing is typed twice. Managers can approve time before it's billed, and billed time is locked.
Plans from $229/month. Every plan includes every feature.

One entry for the work, the bill and the pay
- A case note holds what was done, the billing guide (such as Office Time), the hours, the miles and the invoice description.
- Billing guides fill in the invoice wording, so every nurse bills the same way.
- Optional (turned on for your company on request): travel time, wait time and out-of-pocket expenses with a receipt on each billing guide of a case note.
- Log time straight on a case when there's no note to write.
Approval and locked billed time
Managers can check the hours nurses logged and approve or reject them before they're billed. Once time has been billed, invoiced or paid to the nurse, its hours, miles and rate are locked; the note's wording can still be fixed.
Payroll from the same hours
See each nurse's hours and pay for a period, mark entries paid, and export, email or send the hours to QuickBooks Online. Nurses see their own pending, approved and billed hours on the dashboard.
Reports from the notes
Run a case note report for a patient as a PDF, or an activity log for a nurse or patient with hours, miles, amounts and mileage reimbursement.
Questions
Can nurses log mileage?
Yes. Miles go on each case note and are priced at your company's mileage rate on bills and in reports.
What happens if a note is changed after billing?
Billed or paid time is locked: its hours, miles, rate and date can't change. If approved hours, rate or date change before billing, the time goes back for approval.
Can we bill travel and wait time?
Yes, as an optional feature turned on for your company on request: travel hours, wait hours and expenses on each billing guide of a case note, at your travel and wait rates.
